Permission of the usage
Church vehicles, currently including the 15-seats (cargo) van and newly received 7 seats Dodge passenger van, should be used primarily for church service needs. While allowed, personal usage is limited to CCCC members only. Any personal use of the church vehicle must be approved by one of the deacons in charge. Application form can be obtained in Church office.
Reservation
Reservation should be made prior to each usage via CCCC Online Vehicle Reservation System. In general, the reservation is on "first come first serve" basis. However, if conflict occurs between personal usage and church usage, priority is given to the church related services. In rare cases of important service needs, deacons in charge can assign the usage of vehicle regardless of the reservation.
Maintenance and caring
Caring and maintenance is delegated to the caring team (including Ping-Nan and Qiu-Li). Any major repair plans should be approved by DB prior to the execution.
Expense coverage
Gas related expenses should be reimbursed through their corresponding ministry if the use is for church service purpose. For personal use, gas, and possible damage repair, must be paid by the person who uses vehicle.
Rules of usage
Only designated drivers can operate (drive) the vehicles for both church services and personal uses. These drivers are approved by dedicated deacons and included in insurance documents.
To be eligible to drive Church vehicles and maintained on the active drivers list, the driver must have a valid driver's license and outstanding driving records. Each designated driver must submit a copy of the valid driver's license and sign the CCCC Vehicle Use Agreement (download now) upon the application. Expiration of the driver's license, recent traffic violations, or not using vehicle in the past 12 months will result the automatic removal or deactivation from the active designated drivers list.
Reservation must be made prior to each use. Only designated drivers, pastors, and Deacons in charge can make the online reservation
Vehicle key can be obtained in key box stored in CCCC office and should be returned in office immediately after each use. The password of the key box will be assigned during the reservation process.
A "Vehicle Use Log" form(download now) must be filled by the driver for each usage. Hard copies of this form can be found in a folder along with the key box.
After each usage, the vehicle must be cleaned and returned to the original condition. In general, the cargo van should be seats-off and the passage van should be seats-on all the time.
For church service usage, if the gas meter is near the lowest ¼ marker, the driver is responsible to fill up the tank. For reimbursement, the driver can fill the expenditure form and leave it in G&M deacon's mailbox for process.
For personal usage, the user must refill the gas tank to no less than previous level.
